We are seeking a detail-oriented and highly organized Executive Coordinator to provide administrative support to our executive team and manage various projects, including cross-functional initiatives and internal communication efforts. The ideal candidate will be proactive, resourceful, and able to handle a wide range of administrative tasks with efficiency and professionalism. The Executive Coordinator will play a key role in facilitating communication, managing schedules, and ensuring the successful execution of projects across the organization.
As our Executive Coordinator, you will:
- Manage CEO and executive team’s cadences, including scheduling meetings, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and conferences, including agendas, presentations, and reports,
- Assist with the preparation and distribution of internal and external communications on behalf of the executive team,
- Serve as a liaison between the executive team and internal/external stakeholders,
- Lead and support various projects, including cross-functional initiatives and internal communication efforts, from initiation to completion.
- Collaborate with cross-functional teams to define project objectives, scope, and deliverables, and ensure alignment with business goals.
- Develop project plans, timelines, and milestones, and track progress against established goals and deadlines.
- Facilitate communication and coordination between project stakeholders, ensuring effective collaboration and information sharing.
- Maintain confidentiality and discretion when handling sensitive information and communications.
Job requirements
- Bachelor’s degree in Business Administration, Communications, or related field preferred.
- Previous experience in an administrative support role, preferably supporting C-level executives or senior management.
- Experience managing projects, including cross-functional initiatives and internal communication efforts.
- Proficiency in project management tools and software.
