Functional Responsibilities:

Under the direct supervision of the Human Resources Manager, the HR Senior Assistant is responsible for providing technical and administrative support to the timely processing, recording, completion, monitoring, and maintaining of transactions and processes. He/she will perform a range of HR tasks to support accurate implementation of UNOPS policies and procedures and facilitate the effective functioning of a client focused and strategy-oriented HR services

  • Provide assistance on general HR queries and follow-up actions, to ensure consistent and high-quality HR services are delivered to clients.
  • Provide guidance and on-the-job training to other staff, to support their development and increased knowledge of HR systems and procedures required to perform their duties.
  • Manage allocated recruitment actions to ensure consistent high quality and timely implementation of approved recruitment.
  • Effectively and timely communicate with applicants about the vacancy announcement throughout the selection process.
  • Provide administrative support in various HR activities in the areas of work allocated by the professional officer including onboarding of new staff members in compliance with relevant processes and procedures.
  • Maintain confidential personnel records, update online personal/recruitment files as required.
  • Support in the A to Z recruitment process, screening candidates (longlisting), drafting reports, and engaging with stakeholders.

Education/Experience/Language requirements:

Education:

  • Completion of Secondary education is required.
  • First University Degree preferably in Human Resources Management, Business Administration, Public Administration, or equivalent disciplines is desirable.
  • Knowledge of UN policies, procedures and practices highly desirable

Experience:

  • Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Desirables:

  • Knowledge of general HR administrative work practices and methods, gained through relevant technical training and experience.
  • Good communication skills and basic understanding of HR principles and their application in order to respond to and resolve general HR queries.
  • Ability to develop and maintain relationships with a wide range of individuals in order to provide a high quality support service.
  • Ability to collate and compile relevant data from a variety of sources in order to produce periodic reports for supervisor(s).

Language Requirements:

  • Full knowledge of the working language in English is essential.
