Our mission is to put the world on track for a more secure, healthy, and sustainable food system that is nature- and climate-positive, through a radical shift to more plant-rich diets.
Position Overview:
The EA will support the Director of Strategy and Global Programmes by managing their diary, triaging emails, coordinating meetings, managing stakeholders, booking travel, taking notes and all other EA duties as required.
Responsibilities:
The main duties and tasks of the role include, but are not limited to:
Diary Management
- Manage the Director’s calendar, including scheduling internal and external meetings.
Meeting and Event Support
- Attend select internal and external meetings to support with taking notes and tracking action items.
- Help organise in-person events, including identifying venues, managing invite lists, and day-off logistics.
- Manage all travel logistics and bookings.
- Create and prepare necessary documents for meetings or events.
Email Management
- Manage the Director’s inboxes to ensure prompt response to communications of high importance.
- Support the Director in identifying outstanding tasks and priority emails.
- Reply to select emails on behalf of the Director.
Administration and Financial Management
- Manage expenses of the Director and submit to the appropriate finance protocol.
- Support HR with onboarding of new staff in the Director’s team from scheduling inductions to obtainment of hardware and software.
- Support knowledge management of the organisation, including file storage systems.
Qualifications:
- Extensive experience as an EA supporting C Suite / Executive level roles.
- Proven experience managing schedules and correspondence for high-level executives.
- Excellent written and verbal communication skills, with a keen eye for detail.
- Exceptional organisational and time-management skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills; capable of composing and editing correspondence.
- Ability to prioritise tasks and manage multiple deadlines in a fast-paced environment.
- High level of professionalism and ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
- Excellent problem-solving skills and resourcefulness.
- Ability to work collaboratively in a remote team environment.
- Passion for climate change and sustainable food systems.
- Fluency in English.
